Identify material
Record article and specification revision, lot and roll. Keep internal project references in separate fields.
Record dimensions
Use clear length and width units and the agreed measurement basis. Distinguish usable width from total width where required.
Describe findings
Add concrete observations, roll position and photograph reference. Do not substitute an assumed defect score for a useful description.
Record colour groups
Identify shade or lot restrictions needed for cutting. Carry the grouping information to the garment team before rolls are mixed.
Document disposition
State proposed action, responsible reviewer and actual release record. Leave an unperformed check or pending decision open instead of marking it passed.
Record findings so they can be located again
Enter article, revision, lot and roll, then the position and observation. Keep quantity and width units explicit. Link a close-up to a wider contextual image using a photo reference.
If the cause is unknown, describe the actual observation without guessing. If there is no finding on a reviewed roll, state the reviewed scope through your agreed reporting process rather than leaving a blank that could mean either not checked or no issue.
Keep inspection scope outside unsupported assumptions
Confirm the actual method, coverage and buyer acceptance basis before using the sheet as a completed inspection record. Add the required scoring or measurement fields in your working copy where appropriate.
Visual defects, shade and finished measurements should remain distinguishable. A disposition field needs the responsible decision and scope; it is not an automatic status calculated by the template. Keep unresolved findings open with the evidence needed next.
Reconcile the findings with the shipment
Compare the reviewed roll set with the final packing list. If rolls are added, removed or replaced, update the identities and required review. Retain accepted restrictions or group allocations with the material.
Store the original findings and final dispositions together. A later garment complaint can then be linked to the received roll where records permit. The template supports that chain but cannot recreate missing material identities.
