Check the instruction against the authorised transaction
The buyer’s responsible finance team should reconcile the invoice, order reference, amount, currency and beneficiary with the authorised commercial records. Identify any discrepancy or changed instruction before payment. Use the buyer’s own approval procedure.
For changed bank or payment instructions, independently verify the change using a previously established trusted contact channel. Keep payment evidence separate from release evidence
Record the commercial confirmation through the responsible parties and retain it with the order. Reconcile any changed quantity or invoice basis before authorisation. A payment record should refer to the actual transaction rather than an earlier development budget.
Before shipment, confirm the technical and logistics release conditions independently. Use the handover record to identify pending items and owners. For a dispute or suspected fraud, involve the responsible bank and appropriate authorities through the buyer’s normal process; the project worksheet cannot investigate or reverse a transfer.
