Fabric Quote Worksheet: Compare Up to Three Proposals

Compare the scope of up to three fabric proposals side by side. Enter original prices, currencies and units and identify finished usable width separately from total width. Keep minimum quantities, included fees and exclusions visible. The tool provides a working comparison rather than a price ranking or a purchasing decision.

Identify each proposal

Enter supplier or proposal reference and quotation validity. Keep the source quotation available. A copied price without article, quantity and date is an incomplete basis for comparison.

Keep original units

Retain currency and price unit. A per-yard price can be expressed per metre using the exact yard relationship, with the calculation clearly labelled. No exchange rate is assumed and per-kilogram values are not converted without an adequate basis.

Separate dimensions and quantity

Record total and usable width and minimum total and per-colour quantities. Unknown values stay blank. A wider or differently structured fabric may have another cutting yield even when length prices appear similar.

List scope and exclusions

Record samples, tests, packing and freight as included, excluded or unknown. Do not enter zero merely because a cost is unspecified. Compare the technical and commercial boundaries before deciding which questions to send back.

Review without an automatic winner

Export the original data and labelled conversions. Different currencies are retained and no proposal is ranked. A fourth proposal requires removing one of the three first; an existing entry is never silently replaced.

Prepare comparable inputs without hiding differences

Use a proposal reference and date for each option. Enter the original price, currency and unit plus total and usable width as known. Record minimum total and per-colour quantities and included or excluded scope.

Do not change an article description to make unlike proposals appear identical. Use the specification record to identify composition, construction or finish differences, and ask the garment team about consumption where width or pattern changes. The price comparison supports that review rather than replacing it.

Read the conversion as a calculation

The worksheet can show a price-per-metre calculation for supported length units while retaining the source price. It does not create a new supplier offer. A kilogram price requires an appropriate weight basis for any separate length calculation.

Currencies stay as entered and unknown fees remain unknown. If the apparent saving depends on an unconfirmed input, keep the decision pending. The quotation-basis guide explains illustrative conversions and the checks needed before relying on them.

Illustrative comparison with an excluded requirement

Imagine one proposal includes a required assessment while another leaves it excluded or unknown. Record that difference and ask for the missing commercial response. Entering zero would create an unsupported total even if the spreadsheet looks precise.

After clarification, review the full article and scope with the responsible buyer. This hypothetical case demonstrates why the tool keeps exclusions visible and does not rank proposals by one converted price.

Retain the comparison and the original proposals

Copy or export the reviewed record and keep the source quotations with it. Record clarification responses using the same proposal references. If a sample revision changes the specification, ask whether the price and commercial basis remain valid.

The tool accepts up to three proposals for a focused review. It is not a landed-cost engine or a purchasing approval system. A useful output makes the differences, known calculations and unresolved items understandable to the buyer who will decide.

Questions for this stage

Can I compare four proposals?

The tool holds up to three. Remove one before adding another so existing entries are not overwritten.

Does it compare different currencies automatically?

No. It preserves currencies and assumes no exchange rate.

What happens to unknown fees?

They remain open or in the exclusions field rather than being added as zero cost.

Why is there no automatic best-price ranking?

A ranking would conceal differences in article, width, consumption, currency and included scope. The tool records the comparison inputs; the responsible buyer evaluates the full proposal.

Can I treat an empty excluded-cost field as zero?

No. An unknown cost remains unknown until the actual amount or responsibility is confirmed. Record the gap and request clarification.
